How to customize and auto-generate WooCommerce delivery notes?

A WooCommerce delivery note, unlike a PDF invoice, is not a legal necessity but a service that is appreciated by your customers. Employing WooCommerce delivery notes and other non-mandatory shipping documents, that actually add to the quality of your order fulfillment process, reflects your professionalism.

Physically delivering or automatically emailing WooCommerce delivery notes along with the shipped goods makes it easy for customers to validate the products received. If they find anything missing in the received package, they can immediately contact you with the information in the delivery notes.

In this article, we are going to take a look at customizing, auto-generating, printing, and emailing WooCommerce delivery notes. To do this, you will need to use an external WooCommerce delivery notes plugin, we will be using the plugin from WebToffee for this.

So without further ado, let’s get the party started!

What is a WooCommerce delivery note?

First of all, let’s start by addressing the elephant in the room – what is a WooCommerce delivery note? How is it different from other order and shipping documents like, say, a professional invoice?

A delivery note in WooCommerce is a shipping document that outlines the products and the number of products that are shipped to the customers. It can be a physical document sent along with the products or an electronic document emailed prior to delivery. The delivery note makes it easy for customers to cross-check the items they received with the items they ordered.

The delivery notes for WooCommerce don’t have the leading standing that a WooCommerce invoice has. That is, it is not valid for tax purposes. It just acts as proof of delivery. The delivery notes complement the invoice. The customers are not responsible to initiate the payment for the order because they received the delivery note. Moreover, the delivery note may sometimes not even contain the amount to be paid.

Why do you need a delivery note?

Some businesses use delivery notes as proof of delivery. That is, the customers are asked to sign a copy of the delivery note and hand it over to the seller once they receive the products. The seller can use this document to prove that the customer has received the product. This comes in handy during international trade where you might need to show proof of delivery to the authorities.

The delivery note in WooCommerce can also be used as a checklist against which the user can validate the products and the number of products shipped to them. This helps the customer to build confidence in the seller (you).

The document also offers an overview of what is ordered and what is sent in that particular shipment including the name of the item and its quantity. This helps to reduce confusion during shipment.

What is to be included in a delivery note?

A delivery note for WooCommerce should be a checklist of items included in a shipment. This is to bring transparency to the order fulfillment process.

The document should also include,

  • The name, address, and contact information of your businesses in case the customer wants to reach you with any questions
  • The name, address, and contact information of the customer
  • The date of order
  • Products that are to be delivered
  • Order number
  • Branding (logo and company name)

The best way of implementing the document is to create a standard template for the delivery notes and make use of it to automatically issue the document for all orders.

How to enable the generation of WooCommerce delivery notes?
