Manage PayPal Refunds in WooCommerce

Store owners using PayPal Express Checkout Payment Gateway for WooCommerce plugin by WebToffee can effortlessly issue refunds with just a few clicks. This article provides step-by-step instructions on processing refunds via PayPal, managing refund logs, issuing full or partial refunds, and managing stock efficiently.

The refund option will only be available for orders placed through the PayPal Express Checkout Payment Gateway for the WooCommerce plugin.

Method 1 – Processing a refund via PayPal

To initiate a refund for an order through PayPal, follow these simple steps:

  1. Navigate to WooCommerce > Orders and select the order you wish to refund.
  2. In the order summary, locate and click the Refund button.
  3. For each line item, you can specify the quantity of products to be refunded in the respective text boxes. The refund amount will automatically adjust based on the products refunded. Alternatively, if inventory levels are not managed, you can directly enter the refund amount without adjusting product quantities.
  4. Suppose you fail to specify item quantities during the refund process. In that case, the order will not be marked as refunded, and the email notification sent to the customer will indicate a partial refund.
  5. Optionally, provide a reason for the refund.
  6. Select the Refund $XX.XX via PayPal Express option.

Note:

In manual refunds (basic version), the store owner must issue the refund to the customer manually or by any other means.

Refund logs

All refund-related details will be logged in the Order Notes section of the WooCommerce Orders window. You can access the order notes from the right-hand sidebar, as shown below:

Method 2 – Processing a full or partial refund

PayPal Express Payment gateway also allows you to issue a full or partial refund. To issue a full or partial refund:

  1. Navigate to WooCommerce > Orders.
  2. Select the order you wish to refund.
  3. Locate the PayPal Express Action at the top right-hand sidebar of the orders page.
  4. Choose either Full Refund or Partial Refund from the drop-down menu.
  5. If you select a partial refund, specify the amount and click Refund.

Managing stock on refund

Efficiently manage your inventory when processing refunds by enabling the “Restock refunded items” option from the orders window. This feature ensures that items returned by customers are automatically restocked, helping you maintain accurate stock levels.
